Key Responsibilities:

  • Record-Keeping and Documentation: The Secretary is responsible for maintaining accurate records of the organization's activities, including minutes of board meetings, official correspondence, and legal documents. They ensure that these records are organized, easily accessible, and compliant with legal and regulatory requirements.

  • Board Meeting Management: The Secretary assists in the planning and coordination of board meetings, working closely with the President and other board members. They prepare and distribute meeting agendas, gather and disseminate supporting materials, and document meeting minutes. The Secretary ensures that meetings are conducted efficiently, and decisions and actions are properly recorded.

  • Communication and Correspondence: The Secretary facilitates effective communication within the organization and with external stakeholders. They handle official correspondence, maintain a centralized contact list, and ensure timely and accurate communication of relevant information to the board, staff, volunteers, and stakeholders.

  • Governance Support: The Secretary plays a crucial role in supporting the organization's governance processes. They assist in ensuring compliance with legal and regulatory obligations, including maintaining and updating the organization's bylaws, policies, and official records. The Secretary may also assist in coordinating board elections and managing board member onboarding and orientation.

  • Board Member Support: The Secretary provides support to board members by assisting in the coordination of board activities, such as scheduling meetings, distributing meeting materials, and maintaining board member records. They may also assist in organizing board training and professional development opportunities.

  • Annual Reporting and Filings: The Secretary is responsible for coordinating and ensuring the timely completion of required annual filings, such as financial reports, charitable registrations, and tax-related documentation. They work closely with the Treasurer and other relevant stakeholders to fulfil reporting obligations.

  • Confidentiality and Ethics: The Secretary upholds the highest standards of confidentiality and ethics in handling sensitive information and organizational records. They ensure the security and privacy of confidential materials and adhere to ethical guidelines in the performance of their duties
